Support Ticket Data: When you submit an IT issue, we collect the issue description, any screenshots or images you upload, and metadata such as priority level and category. This data is processed by our AI agents to generate solutions.
API Usage Data: If you use the REST API, we log API key usage, request timestamps, and endpoint activity for rate limiting and security purposes.
Usage Analytics: We collect anonymized usage data including pages visited, features used, resolution rates, and session duration to improve the Service.
Payment Information: Payment processing is handled by Stripe. We do not store your credit card number, CVV, or full payment details on our servers. Stripe's privacy policy governs the handling of your payment data.
3. How We Use Your Information
We use the information we collect to:
- Provide AI-powered IT support and generate troubleshooting solutions
- Process screenshots and images using AI vision analysis for issue diagnosis

4. AI Processing and Data Handling
AI Tech Pal uses OpenAI's GPT-4 and GPT-4 Vision models to process your support tickets and screenshots. When you submit an issue:
- Your issue description and images are sent to OpenAI's API for analysis
- AI-generated resolutions are stored in our database linked to your account
- Successful resolutions may be added to our knowledge base in anonymized form to improve future responses
We do not use your data to train AI models. OpenAI's API data usage policies apply to data processed through their services.
5. Data Storage and Security
We take data security seriously and implement multiple layers of protection:
- Encryption in transit: All data transmitted between your browser and our servers is encrypted using SSL/TLS (HTTPS)
- Secure database: Data is stored in PostgreSQL on Amazon Web Services (AWS) with encrypted connections and restricted access
- Password security: User passwords are hashed using industry-standard algorithms and are never stored in plain text
- API key security: API keys are hashed after initial display and cannot be retrieved once created
- Access controls: Server access is restricted to authorized personnel using SSH key authentication
6. Data Retention
We retain your data for the following periods:
- Account data: Retained while your account is active and for 30 days after deletion
- Support tickets and resolutions: Retained while your account is active
- Uploaded screenshots: Processed for AI analysis and retained with the associated ticket
- API logs: Retained for 90 days for security and debugging purposes
- Payment records: Retained as required by applicable tax and financial regulations

7. Data Sharing
We do not sell your personal data. We share data only with the following third parties, solely to operate the Service:
- OpenAI: Issue descriptions and screenshots are processed through OpenAI's API for AI-powered analysis
- Stripe: Payment processing and subscription management
- Amazon Web Services: Cloud infrastructure hosting
- Google: Authentication services (if you use Google Sign-In)
We may also disclose data if required by law, court order, or to protect the safety and security of our users and the Service.
